What You’ll Do
Vehicle Management:
- Keep track of fleet inventory, vehicle details, insurance, and registration.
- Coordinate vehicle maintenance and repairs.
- Monitor vehicle usage, fuel consumption, and mileage.
- Assist with vehicle disposal processes.
- Organize vehicle inspections.
Transportation Arrangements:
- Coordinate transport for staff, including airport transfers and field visits.
- Ensure compliance with security protocols during transport.
- Liaise with drivers and manage transport records and expenses.
- Coordinate with rented vehicle companies for staff shuttles.
Fuel Transaction Records:
- Update fuel records for generators and vehicles.
- Validate fuel entries and report discrepancies.
- Reconcile fuel records with invoices and receipts.
Maintenance Costs and Job Cards:
- Record maintenance costs and schedules.
- Assist with maintenance and repair scheduling.
- Report on maintenance costs and find cost-saving opportunities.
Fleet Management System (FMS):
- Support the implementation and use of FMS.
- Help train staff on FMS.
- Generate and analyze fleet reports.
- Provide feedback to improve the FMS.
Skills and Qualifications
Education:
- Secondary school certificate or university degree (Diploma or Bachelor’s).
Experience:
- 4+ years with a secondary certificate or 1+ year with a university degree in fleet management or transportation.
Languages:
- Fluent in English and Somali.
Key Skills:
- Fleet management knowledge.
- Strong record-keeping and data entry.
- Excellent communication skills.
- Organizational and time management skills.
- Proficient in MS Office; FMS experience is a plus.
- Analytical and problem-solving abilities.
- Teamwork and interpersonal skills.
- Understanding of safety and security protocols.
- Adaptability and willingness to learn.
